A 24/7 Event Nofication system goes live in this famous London Museum

The challenge

Our Client is a well known museum based in central London.  Their distinctive buildings attract 2 million visitors each year and house many thousands of priceless exhibits.

With such numbers of guests and treasures to look after, disaster recovery plans are vital.   The Business Continuity process has traditionally been a paper based system, with the Business Continuity Director coordinating events with the on-site 24/7 control room. 

Plasmanet were charged with automating the process of event notification amongst key museum staff.

The solution

Plasmanet undertook an extensive discovery process in order to fully understand the current policies and procedures surrounding the existing event notification and business continuity systems. 

Once fully briefed, we created a bespoke Event Notification (EN) system to address the customer’s needs.

With the Plasmanet EN system the control room is now able to manage critical events that affect the day to day running of the museum on any PC that has an internet connection.

As incidents occur, the Control Room logs in to the Plasmanet EN interface and accesses a simple menu of event definitions, links to relevant support documentation and message compilation.

The Control Room can simultaneously communicate with specific Department Heads or their deputies using a predefined drop down list of text that keeps messages unambiguous and clear.

The Event Notification system is hosted off site.  Any updates to the contact and support document databases are uploaded to the Plasmanet server via a secure FTP connection.

A live Event Log tracks the real time status of messages and any predefined actions that are carried out through the system. For example, calling the Emergency Services is part of any “Red Event” and the Log will record who called them and when.

For an up to date situation report the BC Director and other key personnel can access the Event Log via a browser enabled device.
